Office equipment is sold on headline numbers that almost nobody can use. A printer quoted at 40 pages a minute is quoting a single sided black page from a warm machine, and the cost that matters is pence per page over five years rather than the price on the box. Every listing here states the real running cost, the monthly duty cycle the machine is actually built for, what the consumables cost and how long they last. Where a cheaper machine would do the job we say so, because the money in this trade is in the consumables and we would rather you knew that from us than worked it out in year two.

• Capacity: feeder capacity and daily duty cycle stated per model. A scanner run past its daily duty cycle wears rollers in weeks rather than months
• Consumables: roller and pad kits, which are a genuine consumable with a stated page life and which we stock. A scanner that has started double feeding almost always needs rollers rather than replacing
• Connectivity: USB and gigabit ethernet on the network models, with scan to folder, scan to email and searchable PDF included rather than licensed separately
• Running cost: roller kits at a stated page life, and nothing else. Scanners are the one piece of office equipment with an honest running cost
• Sustainability: Energy Star certified with a low power sleep mode. We state the actual certification rather than the word sustainable. For paper that means FSC or PEFC with the chain of custody number on the wrapper. For recycled content it means the percentage. Anything described only as eco friendly is described that way because there is nothing to certify.

Setting it up

An hour including capture software, scan profiles and the folder destinations. We set up the profiles people will actually use, because a scanner with one generic profile gets used like a photocopier.

Which one to buy

Buy on daily duty cycle, not on pages per minute. A 60 page a minute scanner rated at 6,000 pages a day will outlast a faster one rated at 3,000 in any office that scans seriously, and double feed detection matters more than speed because a missed page in a scanned contract is worse than a slow one.
